Clubhouse Rental
The Clubhouse is available for rent only to Unit Owners/Members of the Association and to residents/tenants with a proper lease on file and a Clubhouse Rental and Responsibility Agreement signed by the Unit Owner/Landlord and the tenant. Reserving the Clubhouse is on a first come, first serve basis. A $250 deposit is required to hold the reservation, $50 of which is non-refundable (Please remit two separate checks - $50 & $200.). The non-refundable $50 covers janitorial/ cleaning services and opening and closing services by SSCA management. After the concluding walkthrough inspection, if it is determined by SSCA Management that cleaning will not be extensive and no damage has been done, the remaining $200 will be returned within one week of the event. The deposit must be made by check (Reservation is not firm until the check has cleared.), US Postal Money Order or a cashier's check. Cash will no longer be accepted. If deposit is not received within three (3) weeks of the scheduled event, the requested date and time will become available. Clubhouse Rental & Responsibility Rules
The Association has been charged with managing the Clubhouse which includes scheduling use, cleaning, maintenance and establishing rules of use. Both Unit Owners and tenants renting the Clubhouse will be asked to sign a Clubhouse Rental and Responsibility Agreement and submit it with the deposit. By signing the Clubhouse Rental and Responsibility Agreement ("Agreement") the Unit Owner and tenant (Collectively hereafter referred to as "Renter") agree to the rental of the Clubhouse in its present condition (initial walkthrough inspection required) under the following terms:
1. Renter accepts full responsibility for the security of the premises and all damages that may occur, either as a result of accidents or intentional acts of Renter, guests, and/or vendors secured by the Renter at the time of rental, until Clubhouse is inspected and deemed acceptable by SSCA Management.
2. Renter shall indemnify and hold SSCA harmless from all liability for any and all damages to person(s) or property occurring during the rental or resulting from the rental, whether intentional or accidentally. All obligations, liabilities, and responsibilities imposed hereunder resulting from the rental of the Clubhouse shall be joint and several.
3. Rental requires a $250 deposit, $50 of which is non-refundable (Please remit two separate checks - $50 & $200.). Deposit must be made at least one week before event. If after the event the Clubhouse and premises pass the concluding walkthrough inspection by SSCA Management, the remainder of the deposit will be returned no later than one week from the day of the rental. However, if excessive cleaning, in the judgment of SSCA Management, is required additional deduction(s) shall be made from the $200 deposit. Any damage requiring repair or replacement will be deducted from the deposit. If repair or replacement exceeds $200, the Unit Owner/Member and tenant signing the Agreement agree to compensate SSCA for the cost of such repairs or replacments. Unit Owner/Member and tenant further agree that if recuperation of compensation is placed in the hands of an attorney for collection, costs will then include reasonable attorney’s fees.
4. All event scheduling is on a “first-come first-served” basis. An evening event booked after an afternoon event may be required to have a later start time. Set-up shall be included in booking time, unless other arrangements are made directly with SSCA Management.
6. Renter has use of the kitchen area and appliances, sitting area, and bathrooms. Unless prior arrangements are made with the SSCA Management, the kitchen is to be considered a “warming or staging” kitchen only and shall not be used for full preparation of meals for guests. Caterers or serving personnel may use stove/oven, the refrigerator, tables/countertops for service at your event.
7. Decorations of any kind shall NOT be attached to the walls, ceilings, existing wall decorations, woodwork, ceiling fixtures, window treatments, by use of nails, scotch tape, staples, etc.
8. All Renters, guests, caterers, musicians and vendors shall be out of the Clubhouse one-half (1/2) hour after the event’s scheduled ending time, unless prior arrangements have been made with SSCA Management.
9. Table trash, cups, plates, plastic-ware, cake, food, decorations, etc. must be gathered and placed in proper garbage receptacles. All cups will be emptied of liquid into the sinks before being placed in receptacles and trash bags. All garbage receptacles must be emptied and all trash bags must be disposed of in the dumpster before leaving.
10. Use of Pool Deck Area. The pool deck area is available for use with the Clubhouse, weather permitting. NO
SMOKING and NO ALCOHOLIC BEVERAGES are permitted in the Clubhouse or any place on the premises. Renter shall use no nails or staples on the deck; plastic wire ties are acceptable, but must also be disposed of at the end of the event. Any necessary clean-up will be deducted from the deposit.
11. Renter is requested to ensure that guests observe the City of Huntsville noise ordinance inside and outside the Clubhouse.
12. Caterers. When using a caterer or vendor, please have them provide an appropriate Certificate of Insurance to SSCA Management and advise them that they must review and adhere to the provisions in this agreement.
13. Conduct of Event. The Renter and guests must abide by the SSCA Bylaws, policies and procedures as well as comply with applicable regulations and laws of the City of Huntsville and the State of Alabama. The SSCA has the right to refuse entry or service to and remove from the premises any person(s) it deems to be engaging in an inappropriate conduct. We reserve the right to exclude or remove any undesirable persons from the event and premises without liability.
Neither the Unit Owner/Member nor any resident, renter or occupant of a leased Unit shall be allowed to use the amenities of the Association and all rights and privileges as a Unit Owner/Member are suspended as long as any violation of SSCA governing documents, rules and regulations exist or while any indebtedness to the Association is outstanding. These rights and privileges shall include, but not be limited to, the use of the pool, clubhouse, tennis court and other amenities.
